The Legacy Financials Conversion Guide explains how existing DBA Manufacturing customers can transition from the Legacy Financials accounting configuration to a mainstream financial accounting system such as QuickBooks, Xero, Sage, or MYOB.
DBA Manufacturing continues to manage manufacturing operations, inventory, production jobs, work in process (WIP), and product costing, while the external accounting system handles accounts receivable, accounts payable, banking, payroll, and financial reporting.
Should You Convert?
Customers currently using the DBA Legacy Financials configuration are not required to convert. You may continue using the existing configuration as long as it meets your financial accounting needs.
However, converting to a mainstream accounting system can provide additional capabilities, including online banking, bank reconciliation, credit card processing, payroll services, multi-currency accounting, and expanded financial reporting.
Preparing for Conversion
The guide explains how to select and configure an external accounting system and prepare for the conversion process.
Setup tasks include:
•Selecting a financial accounting system.
•Establishing the chart of accounts and account cross-references.
•Configuring customer and supplier payment terms.
•Setting up check printing and AR invoice transfer items.
•Preparing for the financial accounting conversion date.
Conversion Day Procedures
The conversion process is performed at the beginning of an accounting period and includes:
1.Establishing the financial cutoff date.
2.Posting outstanding general ledger transactions.
3.Transferring beginning account balances to the new financial accounting system.
4.Importing customer and supplier records.
5.Changing DBA from Legacy Financials to the Financial Transfer configuration.
6.Transferring open customer and supplier invoices.
7.Completing general ledger transfer cleanup.
Financial Transfer After Conversion
Following conversion, DBA Manufacturing uses the Financial Transfer process to send summarized accounting information to the external system.
The three primary transfers are:
•AR Voucher Transfer – Customer invoices and credit memos.
•AP Voucher Transfer – Supplier invoices and credit memos.
•GL Summary Transfer – Summarized manufacturing general ledger activity.
The transfer process uses CSV files, allowing DBA Manufacturing to work alongside a variety of financial accounting systems without direct database synchronization.
Who Is This Guide For?
