Email Overview

DBA Email Client uses SMTP to send outbound emails.  To ensure that your emails get delivered, you must verify your sending domain.   You may consider using an SMTP Relay Service that provides built in domain verification and detailed reporting of all emails sent from DBA.

SMTP Authentication Policy

Two options are available:  

Company Setup (Recommended)

The program will use a single SMTP login credential for all emails sent from DBA.

Individual User Credentials

You must setup and maintain SMTP settings and login credentials for each user in the Admin>User Setup>Email screen.   Or each user can manage their own SMTP settings and login in File > User Email Settings. .Prior to Build 406, this was the only method for email setup.   This setup will continue to work, but we recommend the streamlined Company Setup SMTP Authentication Policy.

Company Settings

Company Email Address

This is the default email address that will be used for all emails sent from within DBA.  

SMTP Server

Specify the address of your outbound SMTP server.  

SMTP Port

Enter the port that is required by your outbound SMTP server.  Port 587 (Recommended), Port 465 or Port 2525.  Port 25 is no longer recommended.

Username

The company SMTP Username.  If you use an SMTP Relay Service, you can create a special SMTP user and password for sign in, avoiding the need to involve personal email addresses and passwords.

Password

The company SMTP password.

Allow users to override company email address for sending

Emails will be sent from the company email address by default.   If you check this box, you can allow a user to select a different email address to send emails in File>User Email Settings or Admin>User Setup>Email. The alternate email should be from the same authenticated domain as the company email address.

If SMTP Authentication Policy = Individual User Credentials

Prior to Build 406, this was the only method for email setup.   This setup will continue to work, but we recommend the streamlined Company Setup SMTP Authentication Policy.

Default Settings

Company Email Address

Enter your company’s default email address.  If you wish to establish a different email address at the user level, you can do so in the Email tab of the User Setup screen.  

SMTP Server

Specify the address of your outbound SMTP server.

Apply Email Settings to All Users Button

Click this button to copy the following settings from this screen to corresponding settings in the User Setup screen against all existing users:  

Company Email Address
SMTP Server
SMTP Port .  

User-Level Settings

Troubleshooting and Logging

Activate Email Logging

To test or troubleshoot your email configuration, enable email logging in DBA

Logging provides detailed records of each send attempt, which can be invaluable for diagnosing issues with new settings or authentication errors.
